Organisers can’t manage what they don’t measure. Failing to track carbon emissions leaves races vulnerable to greenwashing accusations and deprives teams of data to target high-emissions hot-spots.

For running events, emissions are categorised into three scopes under the Greenhouse Gas (GHG) Protocol:

Emission scope Definition Examples in running events
Scope 1 (Direct) Emissions from sources owned or controlled by the race. Diesel generators used for timing gates and sound systems.
Scope 2 (Indirect) Emissions from purchased electricity. Plugging race village infrastructure into a local grid.
Scope 3 (Value Chain) The largest category for running events. Participant travel, volunteer commuting, third-party catering lifecycles, and the upstream production/distribution footprint of merchandise.

Implementing a footprint audit workflow

To successfully answer the tracking and measuring indicators from the sustainability audit, organisers should execute a three-step cycle:

1. Pre-event registration capture

Capture 100% of intended travel data during the registration and volunteer sign-up process. Make this a mandatory dropdown question: “How do you plan to travel to the start line?” This eliminates response bias, acts as an active commitment device, and provides a highly reliable predictive travel baseline.

2. Post-event validation

Immediately after race day, request raw logistics logs and run a validation check:

  • Travel Verification: send a quick, 2-question post-race survey to a random sample of participants to verify if their intended travel matched their actual travel (e.g., “Did you travel the way you indicated during registration?”). Adjust the baseline data accordingly.
  • Energy: request electricity meter readings from the venue, or log the fuel volume consumed by generators.
  • Procurement: multiply totals of shirts, medals, and food ordered by their corresponding emissions factors.
  • Waste: request weight logs from recycling, composting, and landfill contractors.

3. Public sharing and feedback loop

Don’t hide the results. Publish a simple, high-visibility “Sustainability Impact Card” alongside the race results on your website. Use this transparent data to set reduction targets for the following year’s event.

Lateral and cost-effective solutions: gamifying the shared carbon ledger

Organisers can make travel and waste measuring a collective effort rather than an administrative burden:

The inter-club ‘Carbon Cup’ (zero cost): when runners register, they select their running club. Group and calculate the travel emissions for each club using your pre-event registration data. Reward the local running club that achieves the lowest average travel footprint (by carpooling, run-commuting, or taking the train) with a discounted “club entry package” or free team registration for next year’s race.

The ‘zero-to-landfill‘ weight counter (zero cost): set up a live, physical scale at your waste separation hub. Throughout race day, weigh and publicly display the volume of recyclables, compostable organic scraps, and landfill waste. Let runners watch the numbers move in real-time, visualising their collective ecological impact.

The shared Google Sheets ledger (zero cost): if you don’t have budget for specialised tools, create a simple, free Google Sheets file using default government conversion values (such as DEFRA factors) to calculate emissions. Make the sheet public for full community transparency.

Key Resources

Specialised race/sport carbon calculators

Option 1: low/zero cost 💵
TrailCred Trail Race CO2 Calculator (Global)
An interactive calculator designed exclusively for race directors. It estimates carbon footprints (kg CO2e) across energy, merchandise, waste management, and catering. It details specific material impact values (e.g., synthetic performance wear: 5.5kg CO2e vs. wood medal: 0.1kg CO2e).
