Who are we?

We, The Green Runners (a registered CIC in the United Kingdom, Company No. 15200424), are an international running community of over 1,000 members making changes for a fitter planet. Our mission is to use the power of community to challenge ourselves and the running industry, by taking individual pledges and organising collective actionism around our four pillars of how we travel, eat, kit up and speak out. We are committed to keeping your personal information safe.

This privacy notice sets out how we process your personal information, how we keep it secure and how to exercise your personal information rights. We are a controller of your personal information, as defined by data protection laws. We determine why and how we process your personal information.

What type of personal information do we collect? 

The personal information we collect will vary according to our relationship with you. We collect and process personal information about a range of people including prospective members, current members, lapsed members, website visitors, people making donations, contacts within the running and climate emergency communities etc.

We may collect and process the following personal information:

  • Personal identifiers (for example, your name, image);
  • Contact information (for example, email address, social media identifier, telephone number, physical address);
  • Information that you choose to share with us (for example, information about your running club, running activities, running equipment, dietary preferences, volunteering skills, actions taken in relation to our pillars etc.);
  • Information about your job, including role title and employer (for example where you represent a business);
  • Records of payments made;
  • Records of events you have attended, campaigns supported etc;
  • Your IP address;
  • Your marketing preferences;
  • Information obtained through our use of cookies.

Sensitive personal information

We do not normally collect sensitive personal information about you that reveals your political opinions, religious or philosophical beliefs, trade union membership, genetic data, biometric data or data concerning your health, sex life or sexual orientation other than where you may offer up that information incidentally in communication with us, for example via social media platforms such as Discord.

We may collect information about your racial or ethnic origin in order to help us understand our membership demographics. We will only do so with your specific consent. Please contact us if you wish to withdraw your consent by contacting us at the email address above.

How do we get your personal information?

We collect your personal information directly from you (for example by email, telephone, web-forms, social media direct messages).

We may also collect your personal information indirectly from sources such as social media.

If you provide us with personal information about other people then it is your responsibility to inform them that you have done so, provide them with access to this notice and obtain their consent where required.

How do we use your personal information?

In this section we set how we use your personal information. For each purpose, we must have a lawful basis for undertaking that processing. We describe the lawful basis for each processing activity in square brackets. We may use your personal information to:

  • respond to your queries and stay in contact with you about matters of mutual interest [our legitimate interest or consent];
  • arrange and manage your membership, including processing payments, sending you service communications and items you have purchased from us [contract];

We may collect information about your racial or ethnic origin with your consent in order to support our membership analytics e.g. in relation to diversity.

What marketing activities do we undertake?

We may provide you with information by email about The Green Runners that may be of interest to you. We comply with direct marketing laws and will seek your consent where required to do so. You can opt-out of receiving direct marketing information at any time by contacting us at the email address above. Note that we will continue to send you service communications where it is necessary to do so.

Who do we share your personal information with?

We may share your personal information with third party service providers such as IT suppliers and payment providers, regulators, statutory bodies and agencies. We may also share your personal information with other third parties such as conference organisers, businesses associated with running etc.

Where we share your personal information with third parties, we, and any third parties we share your personal information with, are required to comply with data protection laws and we are required to demonstrate a lawful basis for sharing your personal information. Please note that we will not sell your personal information to third parties.

How do we store your personal information? 

We use a range of technical and organisational measures to keep your data secure. Electronic data are stored on secured systems and we control who has access to those systems and their use of that data. Card payments are managed by a third party on our behalf. We do not store your payment card details.

Your personal information may be processed outside of the United Kingdom (UK) and European Economic Area (EEA). Where this happens, we comply with the requirements of data protection laws and regulation to ensure an adequate level of protection of your personal information and rights.

We keep your personal information only for long as is necessary for the purposes we collected it for. We continually review what information we hold and delete securely what is no longer required.

What are your data protection rights?

Under data protection law, your rights include:

Your right of access – You have the right to ask us for copies of your personal information. 

Your right to rectification – You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.

Your right to erasure – You have the right to ask us to erase your personal information in certain circumstances. 

Your right to restriction of processing – You have the right to ask us to restrict the processing of your personal information in certain circumstances. 

Your right to object to processing – You have the the right to object to the processing of your personal information in certain circumstances.

Typically, you are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
